Privacy policy
Holistic Agility Ltd ("we", "us") runs holisticagility.com and the courses and coaching we offer. We're registered in England and Wales, company number 11789758, with our registered office at c/o ESDG Accountancy Ltd, 44 Royal Parade Mews, London SE3 0TN.

What we collect, and why
When you book a course (online or by invoice):
- your name, email address, organisation, billing address, and any answers you give on the booking form
- for business bookings from outside the UK, your VAT or company registration number and the result of our check on it
- payment details, which are handled by our payment provider (Stripe). We never see or store your full card number.
We use this to:
- run your booking and send course information and joining details
- issue invoices and keep our accounts
- meet our tax obligations
Lawful basis: performing our contract with you, and our legal obligations (tax and accounting records).
When you take part in a course: attendance, the quizzes and short surveys you complete, and anything you choose to share on the online course whiteboard. We use this to run the course, follow up on your progress, and improve our courses. For Scrum Alliance courses, see "Who we share it with" below.
Lawful basis: performing our contract, and our legitimate interest in improving our courses.
Mailing list: if you've booked with us before or signed up, we may email you about future courses and resources. Every email has an unsubscribe link, and you can ask us to stop at any time.
Lawful basis: legitimate interest (soft opt-in for past customers) or your consent.
Website forms: we use a spam-protection service that checks the browser, not the person, and doesn't use advertising cookies.
Website analytics: we use analytics tools to understand how people use our website, for example which pages are visited and how visitors found us. These use cookies or similar technology, and we only use them with your consent, which you can change at any time from the cookie notice on the site. We don't use the data to identify you.

Who we share it with
We use trusted service providers who process data on our behalf, under contract and only on our instructions:
- payment providers (card payments)
- accounting and invoicing software
- secure cloud database and website hosting
- email, calendar and document tools
- video meeting and online whiteboard platforms for live sessions
- spam protection for our website forms
- the European Commission's VAT-number checking service (EU business bookings only)
Scrum Alliance: for Scrum Alliance certified courses, we share your name and email address with Scrum Alliance so they can issue your certification. Scrum Alliance then uses your details under its own privacy policy.
Some of our providers store data outside the UK. Where they do, the transfer is protected by the safeguards UK law requires, such as the UK International Data Transfer Addendum or an adequacy decision.
We don't sell your data, and we don't use it for advertising profiling.
How long we keep it
- Booking, invoice and tax records: 6 years, as UK law requires.
- Course records (attendance, quiz results): 3 years after the course, so we can confirm your attendance and support you afterwards.
- Mailing list: until you unsubscribe.
- Spam-protection logs: a short time only. We keep a scrambled (hashed) form of your IP address for rate limiting, not the address itself.
Your rights
You can ask us to:
- see the data we hold about you
- correct it
- delete it (unless we must keep it, for example for tax)
- limit or object to how we use it
- move it to another provider
You can also withdraw consent at any time. Email us and we'll reply within one month.
If you're unhappy with how we've handled your data, you can complain to the UK Information Commissioner's Office (ico.org.uk). We'd appreciate the chance to put it right first.
